We are the data controller for the personal data described below. That means we decide what is collected and why, and we are answerable for it.
2. What personal data we collect, and why
We only collect what we actually need to do the thing you asked us to do.
| Where | What | Why |
|---|---|---|
| Job application form (careers page) |
Name, email, phone, location, availability, salary expectation, what you write about yourself, and your CV if you attach one | To assess your application and contact you about it |
| Quotation and enquiry forms | Name, contact details, company, and what you are trying to import or build | To prepare a quotation and correspond with you about it |
| Shop enquiries | Name, WhatsApp number, delivery city, and the items you selected | To confirm stock, price and delivery, and to fulfil an order |
| Email correspondence | Whatever you send us | To answer you and to keep a record of what was agreed |
| Customs and shipping (clients only) |
Name, address, TIN, and the documents a declaration requires | Because Ghanaian customs law requires it for an import declaration |
3. Our lawful basis
- Your consent — when you send us an application or an enquiry. You can withdraw it at any time by emailing us.
- Performance of a contract — where we are quoting, supplying or clearing goods for you.
- Legal obligation — customs declarations, tax records, and employment records we are required to keep.
- Legitimate interest — keeping a record of correspondence so that what was agreed can be evidenced later.
4. How long we keep it
| Data | Retention |
|---|---|
| Unsuccessful job applications | Six months from the decision, then deleted |
| Enquiries that do not become orders | Twelve months |
| Client and order records | As long as required by Ghanaian tax and customs law, then deleted |
| Employee records | As required by the Labour Act 2003 (Act 651) and tax law |
6. Your rights
Under the Data Protection Act 2012 (Act 843) you may:
- ask what personal data we hold about you;
- ask us to correct anything inaccurate;
- ask us to delete it, where we are not required to keep it;
- object to how we are using it;
- withdraw consent you previously gave.
Email nanatek94@gmail.com. We will respond within 30 days. There is no charge.
We keep enquiry records for one year from the date you contact us, and they are then deleted automatically. You do not have to ask.
If you are not satisfied with our response, you may complain to the Data Protection Commission of Ghana.
7. How we protect it
- This site is served only over HTTPS.
- Internal systems are behind identity-based access control; only named directors can reach them.
- Enquiries submitted through the forms on this site are stored in a database we control, protected in transit and reachable only by the named directors through identity-based access control.
- We record only what we need to answer you: your name, the contact details you give us, and what you asked for. We store the country your request came from, not your IP address.
- Access to email and records is limited to the people who need it.
No system is perfect. If we ever suffer a breach affecting your data, we will tell you and the Commission.
9. Terms of business
9.1 Supplier information
Disclosed in accordance with section 42 of the Electronic Transactions Act 2008 (Act 772), which requires an online supplier to identify itself before an order is placed:
- Supplier: Nav-Davict Systems & Trading Ltd
- Registration: CS295610126 · TIN C0066665558
- Address: Adentan Municipal, Greater Accra, Republic of Ghana
- Contact: nanatek94@gmail.com
- Currency: Ghana cedi (GHS)
- Price basis: inclusive of duty, taxes, levies and delivery within Ghana
- Payment: deposit on order, balance before release. Terms confirmed in writing.
9.2 Quotations
- A price shown on this site is an invitation to treat, not an offer. A contract is formed only when we confirm your order in writing.
- Written quotations are valid for 14 days unless stated otherwise.
- We confirm stock and the final price in writing before any payment is taken.
9.3 Payment and deposits
- Orders normally require a deposit before goods are procured. The balance falls due before release.
- Goods remain our property, or the supplier’s, until paid for in full.
9.4 Lead times
- Estimated. Air freight to Accra typically runs a few days; sea freight to Tema several weeks.
- Customs clearance times are outside our control. Ghanaian border clearance has averaged around two weeks.
- We do not accept liability for consequential loss arising from delay at the port.
9.5 Cancellation and returns
- Before goods are ordered from the supplier: cancel in writing for a full refund of any deposit.
- After goods are ordered: costs already incurred are deducted.
- After clearance: duty, levies and VAT already paid to the Ghana Revenue Authority cannot be recovered by us and are not refundable.
- Faulty goods are handled under the manufacturer’s warranty. We will assist with the claim.
9.6 Warranty
The implied terms of merchantable quality and fitness for purpose under the Sale of Goods Act 1962 (Act 137) apply and are not excluded. Beyond those, goods carry the manufacturer’s warranty and we do not extend it. Where we are engaged to do so, we advise on what is required to keep that warranty intact — but the warranty itself remains a matter between you and the manufacturer, and manufacturers commonly require claims to be routed through an appointed regional distributor.
10. Pricing, duty and taxes
A shop price includes our estimate of freight, insurance, Ghanaian import duty, the ECOWAS and African Union levies, the Special Import Levy, the ICUMS processing fee, NHIL, the GETFund levy, VAT and our service fee. It is an estimate, not a customs assessment.
- Duty and taxes are calculated on the basis of the Value Added Tax Act 2025 (Act 1151) and the ECOWAS Common External Tariff as we understand them at the date shown.
- Ghana Customs assesses value on its own benchmark, not on our estimate or on your invoice. The final assessment may differ.
- Where the assessed duty exceeds our estimate, the difference is payable by you. Where it is lower, the difference is credited to you.
- We do not under-declare value, quantity or description under any circumstances.
- Goods are purchased abroad in foreign currency, so the cedi price moves with the exchange rate. A cedi price is therefore valid only for the period stated on the quotation, and is re-confirmed in writing before payment.
11. Scope of advice
Our engineering, landed-cost and compliance material is prepared with care, but:
- it is not legal or tax advice, and should not be relied on as a substitute for a Ghanaian lawyer or a chartered accountant;
- regulatory positions change. Confirm anything material with the Ghana Revenue Authority, the Energy Commission, the Standards Authority or the National Communications Authority before you commit money;
- any classification opinion we give is a starting point for a licensed customs house agent to confirm. It is not a determination.
12. How we do business
These apply to every engagement and are not negotiable:
- We declare the value, quantity and description of goods accurately.
- We make no facilitation payments and pay nothing outside an invoice. Our United States connection means the Foreign Corrupt Practices Act applies to us alongside Ghanaian law.
- We instruct only clearing agents who hold a current licence from the Ghana Revenue Authority.
- If we get something wrong, we say so.
13. Governing law
These terms are governed by the laws of the Republic of Ghana, and the courts of Ghana have jurisdiction.
